The Delegated Admin and Manager Service Portal Roles are designed to allow administrators to offload management activity to Service Portal users. Both roles share the Modify Ownership permission by default.



The Modify Ownership allows users to add or remove owners from VMs. However, there are several limits that you should understand:


  • Local vCommander users can only add existing local users.
  • Directory services users can only add existing local users and directory services users from the same Domain.
  • Only the Primary Owner can change the Primary Owner
  • Only the IT Contact can change the IT Contact


These security limitations protect the integrity of the ownership levels, but can also lead to a situation where there is no Service Portal user who can change the Primary Owner. An example would be when the Primary Owner has left the company, and so is no longer available to make the change. The procedure below describes a means by which you can create a Change Request form and Approval Workflow to handle this activity.


Creating the Change Request Form


  1. Login to vCommander and choose Service Request Configuration under the Configuration menu.
  2. Switch to the Form Designer tab.
  3. Under the Form Library section, click Add.
  4. Set the Form Name and optional Display Name.
  5. Select Change Request as the Form Type.
  6. Publish the form globally or use the Organization and Users/Groups controls to publish to specific organizations, users and groups.


  7. Click OK.


Creating the Approval Workflow


Next, configure the approval behavior for this type of change request. The example below runs through the creation of a new workflow, but you can update your existing workflow(s) to handle the same activity.


  1. Login to vCommander and choose Service Request Configuration under the Configuration menu.
  2. Switch to the Approval Workflow tab.
  3. Click Add.
  4. Enter a Name and choose to Apply this workflow: when a change request is created. Click Next.


  5. On the Assignment page make this the default workflow or use the controls to assign to specific organizations, users and groups.



  6. On the Steps page, click Add > Send Approval Email. Configure as follows, then click Next:


    Step Name: Leave the default, or provide a meaningful name
    Step Execution: Set to Execute when conditions are met with the condition #{request.form.name} -eq "Change Ownership"
    Address List: Provide the address or addresses of an appropriate party to approve the ownership change. You can also use a variable like that for Organization's Primary Contact.
    Email Subject/Body: Provide any necessary information, including use of variables if useful.




  7. On the Automation Options page, configure the Change Ownership form with Automatic / Immediate fulfillment. Click Next and then Finish.
